Booking & Cancellation Conditions
1. Booking Confirmation
The booking with The Outside Planet Mountain Guides is considered confirmed upon receipt of the full payment or, where applicable, the required deposit.
Customer Responsibilities
- The Client agrees to follow and comply with all safety instructions provided by the Mountain Guide. If the Client's behaviour endangers the safety of other participants, the Guide, or themselves, they may be excluded from the activity.
- The Client agrees to inform The Outside Planet privately, at the time of booking, of any physical conditions or other circumstances that may affect their ability to participate safely in the activity.
- The Client agrees to arrive at the scheduled meeting time and to promptly communicate any delays or changes.
- The Client agrees to provide truthful and accurate information during discussions with the Guide regarding their experience and the choice of itinerary.
- The Client agrees to respect other participants during group activities, as well as their equipment and personal belongings.
- The Client agrees to behave responsibly towards the environment by leaving no litter, respecting nature, and avoiding any form of environmental damage.
Itinerary Changes
The Mountain Guide reserves the right to modify or cancel the planned itinerary based on weather conditions, mountain conditions, or the physical condition and abilities of the participants, whenever necessary to ensure the highest possible level of safety.
2. Cancellation Policy
Cancellation by the Client
One-day activities
- Free cancellation up to 7 days before the activity.
- From 7 to 4 days before the activity: 50% of the total participation fee will be charged.
- Less than 4 days before the activity: 100% of the participation fee will be charged.
Activities lasting 2 to 4 days
- Free cancellation up to 10 days before the activity.
- From 10 to 6 days before the activity: 50% of the participation fee will be charged.
- Less than 6 days before the activity: 100% of the participation fee will be charged.
Activities lasting more than 4 days and international trips
For these activities, cancellation insurance may be offered at an additional cost to protect both the Client and The Outside Planet Mountain Guides.
- Free cancellation up to 45 days before departure.
- From 45 to 30 days before departure: 50% of the participation fee will be charged.
- Less than 30 days before departure: 100% of the participation fee will be charged.
Where applicable, the Client will receive the refund specified in the conditions above. Alternatively, if mutually agreed, The Outside Planet may issue a voucher of equal value, redeemable for future activities.
Cancellation by the Guide or The Outside Planet
If the activity is cancelled by the Mountain Guide or by The Outside Planet Mountain Guides, the Client will receive either:
- A full refund of any amount already paid; (no payment will be due if payment has not yet been made).
- Alternatively, if agreed with the Client, a voucher of equal value may be issued for future activities.
Changes in the Number of Participants
If the number of participants is reduced within two weeks of the activity, the participation fee will be recalculated based on the remaining participants.
The remaining participants may either accept the revised price or cancel their participation. In the latter case, any amounts already paid will be refunded according to the applicable cancellation conditions.

3. Photographic Material
During the activity, photographs and videos may be taken by The Outside Planet Mountain Guides and used for promotional purposes on the company's website and social media channels.
If you do not wish your images to be used, please inform us before the activity begins.
Important Notice
By registering for any activity organised by The Outside Planet Mountain Guides, the Client acknowledges that they have read and accepted these Terms and Conditions.

4. Nature of the Service and Organisation
The Outside Planet Mountain Guides operates exclusively as an association of qualified Mountain Guides providing professional guiding and mountain leadership services in alpine and natural environments.
As The Outside Planet Mountain Guides is not a tour operator or travel agency, it is not authorised to organise or sell package holidays or travel packages under the applicable legislation.
Accordingly, the activities offered relate exclusively to the professional guiding service.
For each activity, the fee for the guiding service is clearly specified, together with any additional expenses connected with the activity (such as mountain huts, local transport, or logistical services), which remain separate from the professional guiding service.
Flights, Transfers and Travel Services
Flights, transfers and any other transportation services required to reach the destination are not organised or sold by The Outside Planet Mountain Guides.
The Client is solely responsible for arranging and purchasing their own flights and travel services. Alternatively, the Client may choose to book through a travel agency of their choice or one recommended by The Outside Planet Mountain Guides.
The Outside Planet Mountain Guides accepts no responsibility for flight cancellations, delays, schedule changes, transport disruptions or any other issues related to travel services.
Communication of Personal Conditions and Fitness to Participate
Before confirming their booking and paying the required deposit, participants must inform the office or the trip coordinator of any condition that may affect their ability to participate safely in the proposed activity.
This includes, but is not limited to:
- physical conditions or injuries;
- medical conditions;
- allergies;
- food intolerances;
- dietary requirements;
- any other special needs.
This information is necessary to assess whether the participant is suitable for the activity and whether the planned itinerary is appropriate.
Where necessary, The Outside Planet Mountain Guides may request additional medical documentation, including a certificate issued by the participant's doctor or specialist, and may require a preliminary consultation before confirming the booking.
5. Insurance Conditions
These Insurance Conditions are intended to clarify the insurance coverage applicable during outdoor activities organised by The Outside Planet Mountain Guides.
These provisions are independent from the Booking and Cancellation Policy, which separately regulates booking procedures, cancellation terms and refunds.
All activities take place in natural and mountain environments. Insurance coverage provided by The Outside Planet Mountain Guides is therefore limited to the professional liability insurance held by the Mountain Guide or the appointed professional, as required by applicable law.
1. Activities in Italy
During guided activities taking place in Italy, the following conditions apply:
- The Client is covered by the Mountain Guide's Professional Third-Party Liability Insurance (Professional Liability Insurance).
- This insurance applies only to damages resulting from the professional liability of the Mountain Guide (negligence or professional error).
- Helicopter rescue and mountain rescue services are included during the guided activity, where available and when required.
- Accidental injuries unrelated to the Guide's professional liability, medical expenses, hospitalisation costs, extended accommodation, and any indirect expenses are not covered.
Clients are strongly advised to purchase their own personal insurance policy including at least:
- Personal Accident Insurance;
- Medical and Hospital Expenses;
- Cover for Outdoor and Mountain Sports.
2. Activities and Trips within the European Union
For activities and trips taking place within EU Member States, the following conditions apply:
- The Client is covered by the Mountain Guide's Professional Third-Party Liability Insurance.
- This insurance applies exclusively to professional liability (negligence or professional error).
- Access to healthcare services may be subject to the regulations and reciprocal agreements in force in the host country.
- Rescue procedures, healthcare services and related cover may vary depending on the destination country and the nature of the activity.
- Helicopter rescue services are included during the guided activity, where available.
Clients are strongly advised to purchase personal travel insurance including at least:
- Personal Accident Insurance;
- Medical and Hospital Expenses;
- Medical Repatriation;
- Travel Assistance;
- Cover for Outdoor and Mountain Sports.
3. Activities and Trips Outside the European Union
For activities and trips taking place outside the European Union, the following conditions apply:
- The Client is covered by the Mountain Guide's Professional Third-Party Liability Insurance.
- This insurance applies exclusively to damages arising from the professional liability of the Mountain Guide (negligence or professional error).
- No automatic medical insurance coverage is provided. Any medical expenses, healthcare costs or hospitalisation remain the sole responsibility of the Client unless covered by their own personal insurance policy.
- Helicopter rescue and mountain rescue services are included during the guided activity, where available and when required.
For all activities outside the European Union, it is mandatory and considered an essential requirement that the Client purchases a personal travel insurance policy specifically covering international travel outside the EU, including at least:
- Personal Accident Insurance;
- Medical Expenses with coverage limits appropriate for the destination;
- Medical Repatriation;
- Search and Rescue in Remote Areas;
- 24-hour Travel Assistance;
- Cover for Outdoor and Alpine Activities.
Flights, Transfers and Travel Services
The personal insurance recommended for participation in our activities may also include additional travel-related coverage, such as:
- Trip cancellation;
- Flight cancellation or delay;
- Lost, stolen or damaged baggage;
- Other travel-related assistance services.
The Outside Planet Mountain Guides strongly recommends choosing a policy that provides comprehensive protection throughout the entire trip.
Insurance Information and Advice
Based on direct experience with the destinations and activities offered, the Trip Coordinator is available to suggest suitable insurance options appropriate for each trip and activity.
Any recommendations are provided for information purposes only and do not constitute insurance brokerage or professional insurance advice. Clients remain solely responsible for selecting and purchasing the insurance policy that best meets their individual needs.
Acceptance
By registering for an activity organised by The Outside Planet Mountain Guides, the Client acknowledges that they have been informed of these Insurance Conditions and accepts them in full.
These Insurance Conditions are considered an integral and complementary part of the Booking and Cancellation Terms and Conditions published by The Outside Planet Mountain Guides.
